Privacy policy

1. Preamble

When an organisation becomes a member of LPI, the organisation will be asked to fill out a form by which we collect the following data: name of the organisation, country, full address, contact details (e-mail, website, telephone and details of the contact person).  Furthermore, LPI will collect the personal data from physical persons, when they become a member or when they participate in certain LPI’s activities, such as webinars, workshops or congresses, or subscribe to LPI’s newsletters and messages.  Finally, LPI may process personal data of a person with whom LPI is in contact in the context of its operations (such as suppliers, opposite parties, prospects, or persons representing such party).

This policy and privacy guideline covers all personal data that LPI processes. LPI is responsible for this policy and may modify it from time to time.

2. The data we record and how we collect this

The personal data collected may include: full name, birth date, address, gender, if applicable the affiliation to a certain organisation, professional status, telephone number, e-mail.  We do not collect any data regarding political opinion, sexual orientation, racial or ethnical background, health or religion.

3. The purposes for which we process the data as well as the legal basis for the processing

The personal data are processed in view of the correct functioning of LPI and in order to service its members and to realize LPI’s goals, in accordance with article 6, 1, f of the GDPR (“processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party”).

Additionally, when the personal data of a contractor are processed the personal data are processed in accordance with article 6, 1, b of the GDPR (“processing is necessary for the performance of a contract to which the data subject is party”).

4. The period for which the personal data will be stored

The personal data of physical persons who are a member of LPI will be processed as long as the membership continues.  Likewise, the personal data of physical persons whose personal data are processed because they are acquainted with an organisation that is a member of LPI, will be processed as long as the physical person is acquainted with that organisation and as long as that organisation is a member of LPI.

The personal data of physical persons who are a third party or who are acquainted with a third party (such as suppliers, opposite parties, prospects, etc.) will be processed for as long as the processing is necessary in view of the proper handling of the matters related to this third party.  In addition, when the matter may possibly give rise to a legal dispute and the continuation of the processing of the personal data is relevant in that respect, the processing of the personal data will continue during the legal limitation period applicable to the matter.

Upon completion of this period, we will erase the data at our proper initiative.

5. The protection of the data

LPI has implemented appropriate technical and organisational measures for the protection of the data.

LPI ensures that only authorised people have access to the personal data that are processed.

LPI uses a limited number of third party service providers and pays special attention to any exchange of data with these external parties.  We only exchange data insofar as this is necessary and make sure that in case that we need to exchange data, we only do this with parties that ensure the protection of the privacy.

6. Privacy rights

Every person has the right to obtain a copy of the personal data that we process about that person.  We will fulfil the request by sending a copy electronically, unless the request expressly specifies a different method. For any subsequent access request, we may charge an administrative fee.

If a person believes that the information LPI has about her/him is incorrect, the person concerned is welcome to contact LPI so we can update the data and keep the data accurate.

If a person wishes to exercise any of these rights, that person can simply send a message by e-mail to the following e-mail address: info@liverpatients.international.

In order to comply with the request, we may ask you to confirm your identity.

7. The right to lodge a complaint

 

If you feel that LPI is not respecting your privacy, you can send an e-mail to the following e-mail address: info@liverpatients.international.

If you feel that your complaint was not adequately dealt with, you have the right to lodge a complaint with a supervisory authority in your state of residence.
